Case documents

Attachment index

The Attachment index takes a set of files, numbers them and produces the list of attachments as PDF, Word or text, with title, file name, pages, size and, when needed, the SHA-256 hash of each. On request it also creates a copy of the files with the new names, ready for electronic filing, verifying every copy hash by hash: the originals are left untouched.

What it does

What the Attachment index module does

Free numbering

Free first number (a later filing starts where needed), digits, prefix. Each row can take a hand-written number: “15-bis” does not shift the following ones, an integer restarts the count from there.

Pages actually counted

Pages of PDFs (read in an isolated process), TIFFs and presentations are counted; for Word and OpenDocument the number declared by the saving program is shown, with an asterisk that tells it apart.

Renamed and verified copy

Naming scheme with {n}, {nome}, {titolo}, {data}, {sha8}; options for electronic filing (spaces, accents and apostrophes). Each copy is read back and its hash compared with the original; an existing name is never overwritten.

Filing folder

Copies can go into subfolders by file type (PDF, Word, Images, Email…) and the index is written into the same folder, only if every hash matches.

Three layouts, three formats

Filing, full table in landscape and compact, as PDF, Word (written by Probatio) or text; the PDF can be timestamped and signed like the other reports.

From the Document chronology

Loaded from the case file, it keeps order, titles and chosen dates; changes made here go back into the case file.

Step by step

How it works

  1. Add the files or load the list from the Document chronology case file.
  2. Set numbering, order and titles; if needed, the naming scheme for the copies.
  3. Create the index and, on request, the copy of the files with the new names.
FAQ

Frequently asked questions

Are the originals renamed?
No. A copy with the new names is created in a folder of your choice, each copy is verified with SHA-256 and no file is overwritten.
Can I start from a number other than 1?
Yes, and each row can take a hand-written number: “15-bis” does not shift the following ones, an integer restarts the count.
How are pages counted?
Counted on the file for PDF, TIFF and presentations; for Word and OpenDocument the number declared by the program is shown, with an asterisk.
